Who would make a successful Clara James Tutoring Franchisee?

To become a successful Clara James Tutoring Franchisee, you will need a minimum of A’ levels.

If you want to support the KS2 and KS3 children (those at secondary school, aged between 11 and 16) you will need to have the ability to support children up to the end of their GCSE’s so you will need to prove that you would be able to not only have the knowledge to answer a past paper yourself but also support someone else in understanding how to answer the questions.

I have found over the years the best tutors aren’t necessarily qualified teachers. Having said that, we have had some great teachers who have worked as tutors.

What is more important is the ability to answer the question: “Why you? Why should I ask you to tutor my child?” and this will be asked time and time again throughout your time as a tutor, so if you can answer this question with passion and honesty, you are halfway there.

Experience of working in the educational sector is beneficial but definitely not essential if you can answer the previous question with absolute passion.

You will also need to be self-motivated because there will be times when it’s cold, wet, dark when you just can’t be bothered to set out for lessons. There will also be times when your family decides to have a spontaneous BBQ in the summer, and you can’t be a part of it because you have lessons arranged.

The hours of tutoring will be unsociable as children are generally at school during the day, though you may decide not to do all the tutoring yourself and instead find yourself tutors you are confident to have trained to work for you.

Some people see tutoring as easy money, and it will get easier with time, but at the outset especially you must enjoy hard work. It will be hard, but it will also be hugely rewarding when you see the progress that person has made with your support.

You will need to be Entrepreneurial, someone with the foresight, drive and ambition to take a risk and solve problems. An entrepreneur is described as “a person who organizes and manages any enterprise, especially a business, usually with considerable initiative and risk. What the entrepreneurship definition doesn’t tell you is that entrepreneurship is what people do to take their career and dreams into their hands and lead it in the direction of their own choice. Organisation is paramount. Initially you may find you just have one or two tutees a week and you can hold a certain amount of information in your head. But this won’t last for long and the only way to spin several plates is if you are completely aware of what is happening; how, when and where.

Are you passionate about building confidence and knowledge in maths & English in those that you work with? Helping them to reach their full potential regardless of what that is. Some tutors only like supporting the high achievers as this helps their pass rates for marketing purposes. What training would I get?

The training can be separated into 2 distinct parts: The initial intensive training that takes place in Aylesbury and then the ongoing training and support you will receive.

During the five days you are in Aylesbury we will look at:

  • How people learn and why our systems work
  • Supporting learners with Specific Learning Difficulties (SLD’s)
  • The customer journey from:
  • creating a profile that will encourage people to get in touch,
  • marketing,
  • your first communication with the family
  • meeting the family,
  • planning a relevant lesson,
  • preparing for that lesson
  • carrying out first lesson,
  • getting feedback, testimonials and feedback after the lesson.

What does “Clara James Tutoring” offer that is different to any other tutoring franchise?

When I decided to franchise the business, I did what most people in my situation would do and that was research what other tutoring franchises and other franchises in our price bracket were offering and then work hard to do the same or better.

What some companies offer is amazing. Other companies left me far less impressed.

These were my findings when looking at companies from £2,500+ VAT to £25K + VAT at the time of doing my research (February 2019):

Like us most companies offer initial training. This would vary from 2 weeks with “Footlights Stage School” to 2 days with “Huss Pet Food”. Some companies proudly announced that they provided it but didn’t state how long it would last. Instead, it was described as “Bespoke” or that it would take place at their company headquarters.

Clara James Tutoring offers: 5 days intensive tutoring, here in Aylesbury. Your accommodation and meals would be paid for but you would need to pay for your transport to Aylesbury.

I next researched what support different companies were offering after the initial training on an ongoing basis.

Some companies such as “Playful Pups” offered support via a Facebook group. The homecare services seemed to offer the best support. Diamond Home Support offered videos, an annual meeting, webinars and newsletters. “Time For you” (I believe another care home franchise) offered: access to a 24hour/ 7day week online forum, 6 months virtual office support, an annual dinner and dance and conference.

Again, some companies proudly stated that they offered ongoing support but, how wasn’t revealed. I presume you would need to attend a discovery day to find out more details.

We offer: scheduled phone calls, online training modules, bi-monthly newsletters. Annual dinner/ awards ceremony, training days. Your first year’s membership of the Entrepreneur’s Circle paid for by us (they have amazing training which I believe to be invaluable to any business) and an online forum. We will also help you find your first 100 hours of tutoring.

Moving on, I researched what you, as a franchisee, would receive in your initial start-up pack. Once more, what the various franchises offered varied considerably. Some committed to offering nothing more than “a comprehensive start up pack” where as others, such as Diamond Home Support categorised everything. You would be expected to provide a phone and a computer, in return amongst other things (physical) they would provide promotional goods, their 100 steps manual + 2 additional manuals. 15k A4 fliers and templates.

Les Puces Ltd (French Tutoring) also had a substantial list offering: 2 banners, 500 letterheads, 1k business cards, 250 compliment slips, 2500 fliers and 50 A3 posters.

What we provide includes: a printer and ink, a laminator, branded clothing, branded stationary, 8 student starter packs and 3 tutor starter packs. 1,000

fliers, a set of car magnets, 50 business cards. The Operations Manual, Sales and Marketing Manual and the Policies and Procedure’s Manual.

(I think I am right in saying though that anyone buying a franchise from anywhere would receive an “Operations Manual” as this is pretty much an A to Z of how to run the business successfully).

Most of the companies prided themselves on offering use of their brand name as a selling feature. However, it is the “privilege“ of using this along with the systems to running the business successfully, which is the basis of what a franchise provides you with.

Some of the tutoring franchising stated that they would help you to find a suitable location to work from, but because we always provide the lessons in the child’s home, this wasn’t relevant for us.

Like us, “Time for You” offered to cover your first 3 months fees within the initial cost so that you had time to start to get your business established.

Some franchises would offer to set up your social media accounts for you, whereas for us, that is something we would work through together.

We were also proud to include 3 months of personalised Google Adwords and Facebook Ads marketing to a total value of £1,000 within the start-up fee for each franchisee.

I’m not saying what we offer is better or worse that offered by other companies. Each company will provide what they deem to be reasonable for their franchisees. Do your own due diligence on the companies you are interested in as many of the details might have changed in the months which have passed since I created my research.

What are the ongoing costs?

As with any franchise there will be ongoing costs.

These will total £400/ month which will divide as follows:

£250 or 5% of Gross Revenues will cover your ongoing training and support; such as the one to one telephone and email support, the one to one reviews and it will also obviously cover support such as the bi-month newsletters, online training, etc.

The remaining £150 per month will be allocated to an advertising levy which will help promote your business through national campaigns, regional campaigns or marketing materials that you can use directly in your business. All the money in this account will be specifically for promoting brand awareness so that we can support you in growing your tutoring business to its full potential.

There will also be additional fees which are set out in the “Marketing Manual” for items such as:

• Additional email addresses
• Marketing materials
• Branded shirts and jackets
• Any other materials, equipment or supplies
• Tickets for annual conference
• Training events

What are the ongoing costs?

What Guarantee will I get with a Clara James Tutoring Franchise?

When you sign up for the franchise you will be asked for a small deposit to hold your territory (this is 100% refundable if you decide for any reason not to go forward) whilst you go through the legal documents with your solicitor and find the rest of the funding needed.

Then a week before you come on the training course you will be requested to pay the balance owing.

However, if at anytime before lunch on the first day of the training course you decided that actually this isn’t for you, you will receive all of your money back (minus any reasonable expenses such as promotional items which have been personalised for you, your accommodation in the hotel, etc).

In addition to the initial 5 days training you will receive here in Aylesbury, there will be ongoing support for your full lifetime with us as a franchisee. 

During the first six months you will have a personal mentor who will support you with any questions you have as your business starts to grow and gather momentum.

What would I get for my initial investment?

An important note to make is that you will have NO FEES TO PAY FOR THE FIRST 3 MONTHS. 

We will also support you in getting your first 120 hours of tutoring. 

Furthermore, you will receive a bespoke 5-day training course in Aylesbury, Buckinghamshire. You will have your accommodation, refreshments throughout the day and breakfast, lunch and dinner provided. You will be responsible for paying for your travel to the venue and any alcoholic drinks consumed over the 5-day period.

There will also be an online forum where you can seek support from other franchisees and the support team. 

At the initial 5-day training event in Aylesbury, you will be presented with a comprehensive start up package.

We will get your DBS carried out for you and subsidise any DBS checks for you on tutors you wish to employ. The cost to you will be just £20 (this price will be renewed annually).

Who is Clara James?

To answer this question, I will need to give you a bit of background about the company. 

When I first started tutoring in 2012, I went under the name Starr Tutoring Ltd. Starr was my maiden name and I had always been proud to be associated with my Dad, he was my role model but sadly died when I was 16, my mum and my brother. 

Starr, I felt, also lends itself to a company name. 

Then, when I made the decision to franchise the company I needed to trademark the name. I presumed this was just a formality. However, another educational company, named Star, felt that our name was too similar to theirs and I should change it. 

I was advised that because it was my name, I had been using it for 7 years, the spellings were different and my name had 2 additional words, I would be in a strong position to preserver and try and fight my corner. 

However, with further conversations it became apparent that it was going to cost in the region of £20k to do this, it could last years and there was no guarantee that I would win. 

I spoke to my mentor and we agreed, you need to pick your battles, and this wasn’t one worth pursuing. 

We needed another name. We went through dozens of names that we felt sounded professional but when we did our research it would quickly become apparent that they were either being used (or a similar name was been used) their domain name was taken and if it wasn’t was again likely to cost thousands of pounds. 

There are three other people in my life that I am so proud to be associated with. My children: Clara (whom I always thought was dyslexic and set my off down the road of research into the subject), Jamie and Angel. 

Hence the name Clara James Tutoring. It sounded professional, unlikely to be contested and the domain name was available. I then requested that an Angel be used in the logo. 

It was suggested that although this was a “nice” name it sounded to personal. 

I lost sleep over this for a good while whilst the devil on one shoulder told me to go with it, and the Angel on the other told me to be less personal and keep searching for the right name. 

In the end I decided that if I could find 8 reasons why I should use the name, I would.  

Here is what I came up with: 

  • Most people will probably choose a tutor on reputation and testimonials rather than name. 
  • Our style of tutoring is different to many other tutors. It is that which will attract people rather than our name. 
  • In the book by the former Dragon; James Caan, his dad told him to watch what the masses are doing and do the opposite. So, if everyone else is looking for an adjective to describe the type of business they run, I would take a different approach. 
  • From a personal perspective it still represents the people in my life I hold closest to me. 
  • If people are looking to buy a franchise, they will hopefully look at every opportunity and if they decide this is the right one for them, the name will be inconsequential. 
  • Before I started doing the research for the franchise, the only two national tutoring brands I knew of were Kumon and Kip McGrath, neither of which use an adjective or the word tutoring in their name. 
  • A company can name themselves as being amazing and be truly awful, or vice versa. Its reputation is what counts. 
  • We are not like other tutors in so many respects, why would we want to give ourselves a name that makes us appear to be in their category. I want to be proud that we are different, and we offer truly personal support. A personal name will hopefully reflect that. 

So, Clara James is an amalgamation of my children rather than a specific individual but still a name that people can be proud to be associated with.
